Contract
Once the above has been completed, you’ll wait for Taylor to send over the official contract (3-5 business days). The contract is signed by Mercer and the tenant.
Once the contract has been signed, you’ll receive a notification from docusign and you should ensure that everything looks correct.
Step Four
Retainer
The retainer is always sent directly after the contract has been signed. It’s sent through Stripe and is the total amount of ONE (1) month's rent (excluding membership fees).
The new tenant will receive an invoice to pay the retainer after the contract has been signed that offers a CC payment option, but they can also opt to send in a check. If they do plan to send a check, they must notify us beforehand and make the check payable to 305 Broad, LLC. The check can be mailed to the address 303 W. Broad St., Richmond, VA 23230.
Membership Director to send this email right before sending the retainer invoice:
“Hi _____,
I received your signed contract and we look forward to having you in the building soon! Before that happens, I have a few follow up items I’d like to review. Please see below and let me know if you have any questions.
Insurance - Please provide a copy of your insurance summary when you have a chance (see more on Pg. 3 of Terms and Service). This is not needed to sign the contract but can be provided at a later date.
Retainer - You will receive an invoice to pay the retainer shortly that offers a CC payment option and you can also opt to send in a check. If you do plan to send a check, please let us know and make the check payable to 305 Broad, LLC. You can send the check to the address 303 W. Broad St., Richmond, VA 23230.
Keys - Please let me know how many keys you will need for your office space and we can prepare copies before your move-in date.”

Keys - Make key copies with Wendy McCreary (locklady3@gmail.com). She will need about a week to make it happen, so make sure to schedule in advance. She will send along a picture invoice via email that can be sent to the accounting team.
Email - To be sent a couple weeks before the move-in date.

Conference room hours: As you know, you have __ monthly conference room hours that can be used. Please email conciergerva@commonhouse.com when you would like to schedule time in a conference space.

The concierge team will track conference room hours manually, which means all tenants have to email them directly to schedule time in the conference rooms.
All hours are tracked HERE under the “conference room hours” tab.

Monthly rent/dues: We do not add the monthly rent to the Hubspot accounts. We only add the monthly dues to the individual’s account. It’s best if you break out the membership dues across all the members in the House so that if they end the contract, we can still keep them separated as members if they choose to stay in the membership base.
Tags: Be sure to tag all office tenants with the “office” tag so that we can keep track of members in the appropriate bucket.

Main contact: The main contact on the account should be paying for all the membership dues and rental fees. We must break out the membership dues from the rent by creating a paying corporate membership and then a service for the office space. We do this to track membership dues and rental fees separately.
Additional employees/tenants - These individuals can have “free corporate memberships” attached to their profiles so that they are not charged monthly dues.

Exit survey - When it’s time for the tenant to move out, send over the exit survey the month of to receive feedback on their experience.
Memberships - When emailing them the exit survey, ask if they’d like to keep their current membership going once they leave the office.
Walk-through - Conduct a thorough walk through the day after the tenant moves out to see if there has been any damage. If there is damage (wall marks and picture holes don’t count), loop in Lauren to determine how much should be removed from the retainer.
Retainer - Once the walk-through is complete, send an email to the accounting team about cutting a check for the retainer. Ask the tenant in the email with the exit survey where they’d like the retainer to be mailed.
