Salaried Employee Annual Performance Reviews

The 'What'

  • Annual Performance reviews are completed on the employee anniversary date as opposed to hosting one review period each year. 

The 'Why'

  • This allows for more thoughtful responses as managers are not completing a multitude of reviews at one time. 

  • Allows for better scheduling ahead of time and the day to day tasks can still get done as we are not dedicating 1-2 weeks solely completing performance reviews. 

  • Historically, employees who started right before review time had to wait more than a year after their anniversary date for their performance review. This will allow us to keep a schedule and have little to no 'off-cycle' performance reviews. 

Who does what and who is included?

  • Only salaried, full-time employees will be utilizing the annual performance review process via ADP. 

  • All employees will be reviewed by their manager and their function lead (if they have one). ADP allows for a 'contributor' to the reviews which are the function leads. If you do not have a function lead, you simply will only be reviewed by your manager. 

  • Each employee will complete a self-review form that once completed will be sent to their manager/function lead. 

How do we do it?

  • 21 days before an employee's anniversary date, the manager, function lead, and the employee will receive an email to login and complete their review form. 

  • Throughout this process, if the form is not completed, you will receive reminders to complete the form up until the due date. 

  • If the form assigned to you is not completed/past due, a notification will be sent to your manager that it still needs to be completed. 

  • Once all forms are completed they will be sent to HR for final approval to ensure completion. 

  • After HR has approved them, the manager will receive a notification that the review has been approved and an email that it is ready to be released to the employee.

  • The manager will have to release the completed review to the employee. DO NOT RELEASE THE REVIEW UNTIL AFTER YOU'VE MET WITH THE EMPLOYEE TO REVIEW/

What is included in the form?

  • The questions cover Job Performance, Team-Related Competencies, Individual Competencies, and Core Values. 

  • Each item is on a rating scale of 1-5 and all questions are then calculated for an overall score of 1-5.

  • There is a comment section for each question to provide clarity on why a certain rating was given. While comments are not required, they are encouraged. Employees should be given feedback on why they are rated the way that they are. Please note that if a review is submitted with no comments at all, it will be rejected and sent back for updates. 

What do I do after the review forms are completed?

  • It is the responsibility of the manager to schedule a meeting with their direct report (and function lead) to go over their annual performance review. 

  • It is recommended to have this meeting fall on the employees' anniversary date (or very soon after) as the due date of completion of the review process is the anniversary date. 

  • After the meeting, the review may be released to the employee.

A few words of advice and wisdom

  • These are done on the employee's hire date. If they have recently been promoted before their hire date - review them based on their previous position or based on their time in their new role. 

  • Annual Performance Reviews are NOT guaranteed to be tied to an increase in compensation. 

  • Annual Performance Reviews should not take the place of consistent feedback between managers and direct reports. Regular check-ins regarding performance, goals, attendance, morale, etc., should be the norm. No one should be surprised by the results of their performance reviews.  

  • Depending on your ADP settings, your notification to complete a review may go to your personal email. Please monitor both when you know that you should be expecting a review. If you'd prefer it to go to your work email or your personal email and you're unsure of what is utilized - please let HR know and we can change your notification settings.
