Weekly Meetings

  • Prog & Concierge

    Programming and Concierge Manager meet weekly on Mondays (or Tuesdays if Monday is day off) to go through the ROS in Tripleseat including:

    • Run through the programming events for the upcoming two weeks

    • Internal print needs and signage

    • Payment for partners/vendors (all checks should be at concierge and paid at end of event)

    • Payment for members/guest + where to charge (i.e. programming revenue, f+b revenue, etc.)

    • Direct emails from Concierge (reminders, payment, pickup, waitlist, confirmation, etc.)

    • Any programs that concierge could push verbally at the front desk

    • Member communication that has come up and needs clarification

    • Special greetings or notes that members should know upon arrival to program

  • Design & Comms

    • Design + print needs for the following 4 weeks

    • Discuss outline for the next week’s ‘Weekly’

    • Pending questions in Notion

    • Print needs: upcoming posters, custom menus, signage

    • Programs to promote

    • Special additions or last minute changes

    • Social media chat (any extra social love or one off emails needed)

    • Photo needs for the next 4 weeks

    • Large and/or yearly programs that need full branding

    • Follow-ups from F+B programming meeting

  • BEO Meeting

    Prepare BEO notes and update Tripleseat/Google calendar ideally the Friday before the scheduled meeting

    Production Plans

    • While going through each program for BEO preparation, you many need to source speciality cocktail info or other drink needs like wine mats, collect presentations, look through A/V equipment, create or finalize the production plan with lists + tasks for larger events

    • Include in the production plan:

      • General vision of the program

      • Floorplans via Social Tables

      • Run of show/timeline

      • Hospitality for programming partner

      • Concierge notes (including print needs)

      • Offer ideas for service & staffing, but defer to FOH team for final call

      • Offer ideas for f&b, but defer to BOH teams

    • Confirm with FOH manager in charge of staff schedules how many server/bartenders, etc. may be needed for each program to inform the weekly staffing schedules
