Notion + Splash
Comms team needs information 6 weeks in advance (or the 10th of the month for the next completed month). This includes everything important for the program promo that they take and put in the Common House voice:
Full details on the program
Assets from partners: bio, photos
Member and NMG payment info
Food or beverage menus
Special print needs
Weekly emails & constant proofing of programs in Splash
Splash process includes checking:
The RSVP block has the info it needs
The automatic email has correct info (it’s good to drop in things like, ‘please bring a mat or any special notes like that’)
The capacity is set correctly and waiting list is clicked on
When proofing listings, you’re looking for correct details, not copy/photo edits (that’s Comms, unless the wrong person is in lead photo or program is really not captured correctly; you should go back to initial notion in that case and check your notes)
Programming manager must create the following for each monthly schedule:
Checklist
A budget sheet
Individual listings (list vs. calendar view)
Adding template
The Weekly
Review the outline for The Weekly by EOD every Monday. This will be sent to you by the DCC (Digital Content Creative)
This is super important to review thoroughly. It wastes the DCC’s time if this isn’t done properly because they build it in MailChimp based on the outline.
Everything for the next week should be listed, but priority is given to things that are super special like yearly traditions and things that need more RSVPs.
Intro - generally, this is the program coming up in the next week (sometimes two weeks) that either will generate the most amount of revenue or is the most exciting that we want to dedicate a couple of paragraphs to explaining it
Featured - one event that we want to have a bit more of a write-up on than just listed with date and time. Think about the events that need a little extra context or go beyond what the title says.
Grid - all the other events for the week that aren’t listed in the featured or intro.
Callout - we leave room for any dining specials, private event callouts or happy hour specials. Usually, someone will bring up an item in the All Team that they want to push and we can include it here.
Looking Ahead - One to three events coming up the following week or farther out that need extra love, maybe doesn’t have a poster but needs promo, or has a poster but still needs promo!
